Sending a written offer for signature

Generate the written offer from your template and send it for signature to the purchaser, and then to the vendor once the offer has been accepted.

Purpose

The written offer for signature transforms a recorded offer into a formal document, generated from your organisation template and prepopulated with the purchaser, the vendor, the property, the amount, any counter-offer, the conditions and the validity date.

As long as the offer is not accepted, only the purchaser is invited to sign, and after acceptance, the vendor is added to the signers in order to collect the commitment of both parties on the same document.

Where to find it

  1. Sales
  2. Offers

Use the “Written offer for signature” action on the relevant offer line.

Steps

  1. Verify that the purchaser has an email address, failing which the sending is rejected.
  2. Click on “Written offer for signature” on the line of an offer that is neither refused nor withdrawn.
  3. Check the summary (purchaser, lot, amount, conditions, validity), and then click on “Generate and send for signature”.
  4. Choose the “Model”, check the “Fields”, the “Document title” and the “Signers”, and then consult the “Preview”.
  5. Click on “Send for signature” so that each signer receives their personal link by email.

Good to know

  • An offer type template must be active in “Templates” in order for the document to be generated.
  • The vendor is only added automatically if the offer is accepted and their email address is known, and you can also add them using “Add a signer”.
  • Signers receive a reminder after three days, and you can track the progress of the request in the “Signatures” screen.
