Product and platform

What is REOS and who is this software designed for?

REOS is the operating system for real estate businesses, bringing together owners, properties, units, mandates, leases, transactions, documents, finance, and operations on a single platform. It is designed for sales agencies, rental management companies, property managers, developers, and investors, ranging from sole traders to agency networks, so that everyone works from a single database rather than disconnected tools. Because each screen provides a view of this single database, any modification made by a team member is immediately visible to the others.

What business activities and modules are covered by the platform?

The platform covers sales transactions, rental management, property management, and property development in order to address all of the company’s activities. The modules include the property portfolio, mandates, leases, maintenance, accounting, general meetings, and dedicated portals. This modular structure enables each agency to activate the functions that correspond precisely to its business so that the menu adapts to its needs.

In which languages and on which markets is REOS available?

The workspace is available in French, Dutch, English, and Spanish so that each user can work in their own language. Country-specific rules are handled at the property and lease level rather than being hardcoded into the screens, which allows the same organisation to manage properties located in several countries while applying the rules relevant to each one.

United Kingdom For the United Kingdom, REOS manages properties, leases, their deadlines, and documents, and market-specific rules can be configured upon request.

Link to this question
How do the workspace, roles, and staff access permissions work?

The workspace is used within a web browser at app.re-os.eu without requiring any installation. Permissions are assigned by role, such as administrator, property manager, or accountant, so that each team member only has access to the functions they need. Because pricing does not depend on the number of accounts, every person has their own login, which preserves the audit trail and avoids the sharing of credentials.

What services are offered by the owner, tenant, co-owner, and buyer portals?

Owners, tenants, co-owners, and off-plan buyers each have a dedicated space limited to their own file, in their own language. Owners can view their properties and statements, tenants can check their lease, payment deadlines, and documents, co-owners can review their fund calls and account statements, and buyers can follow the progress of their lot and payment schedule. These spaces reduce the number of requests sent to the agency because the information is available at all times.

Link to this question
How are the diary and online appointment booking managed?

The shared diary brings together visits, appointments, and team tasks so that everyone has the same view of the schedule. On a published listing, a prospective buyer or tenant can book an available time slot themselves, which creates the contact and the visit and sends them a confirmation with an .ics file; a reminder is sent 24 hours before the visit. Each user can also subscribe to their diary within their usual application using a read-only iCalendar feed, while bidirectional synchronisation with Google or Outlook is implemented on a custom basis upon request.

Link to this question
How do the agency public website and listing syndication work?

Each agency has a public website displaying its published listings, complete with a contact form and online visit booking. Publishing a listing from the workspace updates this website as well as the agency XML and JSON feeds, which never disclose the street name of the property. Third-party real estate portals receive nothing by default, and each connection is configured on a custom basis upon request using the agency contract and login details.

Link to this question
How do software trials and subscription setup work?

After creating your account, you select a plan according to the number of units under management, which initiates a seven-day trial period during which nothing is charged. The portal remains closed as long as no plan is selected, because unit and storage limits depend on it. For a large portfolio or data migration, assisted implementation can be quoted separately.

Link to this question
Does REOS replace our accounting software?

No. REOS covers real estate finance, meaning rent calls, agency invoices, statements, and disbursements to owners, and it exports journals in CSV or Excel format so that your general accounting remains managed within your usual software. A direct connector to this software can be built on a custom basis upon request.

Sales and transactions

How is the sales mandate register managed?

The mandate register lists all your sales contracts to ensure the traceability of your agency activity. You can export this register in PDF or CSV format at any time to meet regulatory requirements. The commission model is applied directly from the mandate in order to automatically deduct fees and the net vendor amount.

See also: Instructions and instruction register, Property sales software

Link to this question
How is a property valuation calculated with REOS?

The valuation relies on comparable properties and the median price per square metre in order to propose a reasoned value range. REOS then produces a PDF report that you can hand to the owner, and the AI assistant can draft the commentary explaining the reasoning based on the selected comparables.

Link to this question
Can I send a targeted property selection to a prospective buyer?

You can compile a selection of properties that matches a prospective buyer's criteria and send it as a public page, accessible via a personal link. The prospective buyer can thus view up-to-date listings without creating an account, while you retain a record of what was proposed to them.

Link to this question
How is the vendor informed when a purchase offer is submitted?

Each new offer recorded on a property triggers the dispatch of a message to the vendor so that they are informed without delay. Decisions made on each offer are kept with their history, which allows you to trace the progress of the negotiation at any time.

See also: Property sales software

Link to this question
How do you manage the documents required for a sale file?

The sale file displays the list of documents to be gathered according to the property location so that no mandatory document is missing at the time of signing. Documents that are about to expire are subject to a reminder in the notifications, which gives you time to renew them.

United Kingdom For the United Kingdom, the market-specific list of documents is configurable upon request, and the file documents remain organised and tracked within REOS.

See also: Property sales software, Documents and e-signature

Link to this question
How does the module integrate anti-money laundering obligations?

For each vendor and each purchaser, the due diligence file records identity verification, the beneficial owner, political exposure, sanctions screening and the risk level, as well as the date of the next review. These files are kept for five years, and a review that is reaching its due date is subject to a reminder in the notifications so that the check is renewed in time.

See also: Property sales software

Link to this question
Is the weekly report to the vendor generated automatically?

Every Monday, REOS sends the vendor a report of the past week which includes the number of viewings, visitor feedback and offers received with their status. The vendor is thus kept informed of the marketing of their property without the agent having to draft this report.

Link to this question
How are your listings published on the agency website and sent to portals?

Publishing a listing makes it immediately visible on your agency's public website as well as in your XML and JSON format feeds. Third-party real estate portals, on the other hand, do not receive any data automatically, as each connection requires custom configuration based on your own contracts.

See also: Property listing syndication, Integrations

Link to this question
Do purchasers receive alerts in the event of a new property?

Every day, prospective buyers whose criteria match a new available property or a property whose price has dropped receive an alert. This automated tracking makes it possible to match supply and demand without manual follow-up by the agent.

Lettings and property management

How can prospective tenants submit their application and supporting documents?

Applicants can submit their application through a public page linked to the listing or property and attach their supporting documents, which are filed directly in their profile. The AI assistant can then read these documents, such as a payslip or employment contract, in order to enter the income and employer details into the profile. Rejected applications are deleted after six months in accordance with the principle of data storage limitation.

See also: Lettings and property management software, Property management software for lettings agencies and managers

Link to this question
What happens when an application is accepted or rejected in the software?

When you accept an applicant, they become a tenant and the software automatically creates a draft lease to prepare for the rental process. If you reject the application, a simple email is sent to the applicant and the file is scheduled for deletion after six months. This organisation helps structure the selection process without requiring multiple manual steps.

Link to this question
How is the lease drafted, validated and signed by the various parties?

The lease is generated from a document template and data relating to the property and the tenant, before being sent for simple electronic signature. Each signatory receives a personal link and confirms their identity using a code sent to their email address. Once all parties have signed, a signature certificate is produced and attached to the lease to retain proof of the transaction.

See also: Lettings and property management software, Documents and e-signature

Link to this question
How does artificial intelligence assist with the comparison of condition reports?

The condition report is drawn up room by room with photographs and signatures, and then generated as a PDF. Upon checkout, the AI assistant can compare the check in and check out photographs of the same room to propose a list of differences, each classified as normal wear and tear, minor damage or major damage. The property manager validates or corrects these proposals, which facilitates discussions regarding the rental deposit.

Link to this question
What services does the tenant portal make available to occupants on a daily basis?

The tenant receives a personal, revocable link by email, which gives them access to their lease, documents, deadlines, payments and certificates. They can also report an incident through this portal, which creates a request in the agency work queue. This access does not require a password and can be revoked by the agency at any time.

See also: Lettings and property management software

Link to this question
How do tenants report an incident and how does the agency handle it?

The tenant reports the incident from their portal, and the agency receives it as a ticket that follows the stages of triage, assignment, intervention and closure. The property manager can then issue a work order to a supplier from the directory, and the supplier invoice is recorded as an expense against the relevant property, making it appear on the landlord statement.

See also: Maintenance, works and contractors

Link to this question
How are work orders and supplier invoices managed?

The work order is issued to the chosen supplier, and the landlord approval is requested when the amount exceeds the threshold set in the mandate. The supplier receives an intervention link that allows them to track the request without needing an account. Their invoice is then recorded as an expense against the property and the ticket is closed, ensuring that the expense appears on the landlord statement.

Link to this question
How does the software manage statutory deadlines and rent indexations?

The work queue tracks active lease deadlines, such as the indexation anniversary date, the end of the lease or the expiry of a certificate, in order to alert the team before a deadline is missed. Indexation is calculated based on published indices, and when the index for the month is not yet available, no amount is proposed rather than providing an estimated figure.

United Kingdom For the United Kingdom, REOS tracks the deadlines and documents for each lease, and market specific indexation rules can be configured upon request.

Link to this question
How does the platform guarantee secure access for tenants and landlords?

The tenant and landlord areas rely on personal, long and random links sent by email, which can be revoked by the agency at any time. Each individual only sees information relating to their own file or properties, because access is verified by the server on every read request rather than just on the screen interface.

Link to this question

Rent and finance

How are rent requests and receipts managed in REOS?

REOS issues a monthly rent request for each active lease, detailing the amount, the due date and the agency bank details. Once the payment is recorded, the receipt is generated in PDF format, sent to the tenant by email and filed in their documents, so that both the tenant and the agency have access to the same supporting document.

See also: Real estate finance: invoices, rent, exports, Property management software for lettings agencies and managers

Link to this question
In what way are unpaid rent reminders sent to tenants?

Unpaid amounts are subject to three reminder levels: a first reminder, a second reminder and then a formal notice. Each reminder is produced in PDF format and actually sent to the tenant, and the same level can only be sent once for a given due date, which prevents sending the same letter twice.

See also: Real estate finance: invoices, rent, exports

Link to this question
How do bank statement imports and payment matching work?

You import the CSV export from your bank, specifying the column mapping the first time, which is then saved for subsequent imports. Payments are matched with requests first by the payment reference, and then by the amount and the name, so that each payment is linked to the correct due date. Automatic import from the bank is custom built upon request.

Link to this question
How are owner statements and SEPA transfers calculated?

The owner statement lists, for the period, the collected rents, the fees provided for in the mandate and the expenses allocated to the units, in order to establish the net amount to be transferred. Each line refers back to its origin, allowing the owner to verify the calculation. The statement serves as the basis for the SEPA transfer file.

Link to this question
How does REOS handle the annual indexation of rents according to countries?

The indexation screen displays active leases whose anniversary date falls within the month and calculates the new rent based on the published index applicable to the lease. When the required index is not yet published, the calculation is not proposed because the system does not estimate any figures.

United Kingdom For the United Kingdom, REOS tracks the anniversary date of each lease and notifies the team, and the index as well as the market-specific updating rules are configurable upon request.

Link to this question
How does the agency issue its own invoices and credit notes to its clients?

The invoicing screen allows the agency to issue invoices intended for its owners and clients with continuous numbering locked by the server without any gaps or duplicates. Once an invoice has been issued, it can no longer be modified, so you must issue an associated credit note if any changes are necessary.

See also: Real estate finance: invoices, rent, exports

Link to this question
What options are available for accounting and financial data exports?

The finance module maintains the sales, purchase and agency movement journals. You can export them at any time in CSV format, using the semicolon as a separator, or in Excel format, in order to import them into your accounting software. A direct connector to accounting software is custom built upon request.

See also: Real estate finance: invoices, rent, exports, Integrations

Link to this question
How does the module manage the creation and release of rental guarantees?

Each rental guarantee is recorded with its form, such as a blocked account or a bank guarantee, and with its amount. Its release is monitored at the end of the lease taking into account any deductions decided upon after the outgoing inventory of fixtures, so that the refunded amount is documented.

See also: Lettings and property management software

Link to this question
How are utility charge statements prepared for tenants?

The utility charge statement lists the actual expenses for a period and distributes them according to the chosen key, namely surface area, equal shares or quotities. It then compares the result with the provisions paid by each tenant in order to calculate the balance to be claimed or refunded, before generating and sending the statement.

See also: Real estate finance: invoices, rent, exports

Link to this question
How are agency commissions on sales and rentals tracked?

Commissions are calculated based on the rules established in the mandate, for both sales and rentals. A table presents them according to their status, to be invoiced, invoiced or collected, which makes it possible to track agency fees without needing a separate spreadsheet.

Block management

How do you manage units and shares within a condominium in REOS?

The condominium is created with its enterprise number, the start month of the financial year and the total number of shares, after which each unit is assigned its share and its owner. These shares are then used for all calculations, fund calls, statements and majorities, which prevents you from having to re-enter the distribution for each operation.

United Kingdom For the United Kingdom, the condominium, its units and its shares are managed in the same way, and the legal rules specific to the market can be configured upon request.

See also: Block management software for co-ownerships and syndics

Link to this question
How do you configure the various allocation keys for condominium charges?

You can add specific keys such as the lift, heating or stairwell in order to allocate expenses according to the actual utility for each unit. If no share is entered for a particular key, the system applies the general condominium shares by default. This configuration guarantees the accuracy of the annual statement of actual charges.

Link to this question
How do you establish the provisional budget and issue periodic fund calls?

First enter the various budget items for the year or use the data from the previous financial year in order to define the financial basis of the association. The module then generates the fund call in draft mode, whether on a quarterly, monthly or half-yearly schedule, so that you can check it before issuance. Each owner thus receives their call by email with the detailed amounts for the working capital fund and the reserve fund.

See also: Block management software for co-ownerships and syndics

Link to this question
How does the software govern the convening of meetings, the holding of general meetings and votes?

The general meeting is prepared with its agenda, and each item indicates the required majority. REOS calculates the quorum and the voting result based on the shares, and an online vote can be opened prior to the session. After the meeting, the AI assistant can draft a proposed minutes document from the agenda, the votes and your notes, which you review before sending it to the owners.

United Kingdom For the United Kingdom, the majority and quorum rules specific to the market can be configured upon request, while the preparation, votes and minutes follow the same procedure.

Link to this question
What is the follow-up process in the event of an insurance claim in a condominium building?

The claim is recorded with its nature, date of occurrence and reporting date, the insurer's references and, where applicable, the expert and the date of their visit. The file then tracks the estimated amount, the deductible and the compensation, so that the status of each claim can be presented to the owners.

See also: Block management software for co-ownerships and syndics

Link to this question
How does REOS ensure the tracking of maintenance contracts and mandatory inspections?

Building maintenance contracts, such as cleaning, the lift or the boiler, are recorded with their annual amount and their tacit renewal conditions. Mandatory inspections, for example of fire extinguishers, the fire alarm or gas, are tracked with their frequency, the date of the last inspection and the next due date, so that the intervention is scheduled before the deadline.

See also: Block management software for co-ownerships and syndics

Link to this question
What information can owners consult in their dedicated portal?

Each owner accesses their account via a personal link: fund calls, payments, balance and annual statements. The portal also makes available to them the condominium documents that the managing agent chooses to share, such as meeting minutes. This is view-only access, meaning that no accounting entries can be modified.

See also: Block management software for co-ownerships and syndics

Link to this question
How do you manage charge arrears and chase owing owners?

Each owner's account displays the called amounts, payments received and the balance, which immediately highlights arrears. The managing agent can then send a reminder by email to the owner concerned, and the account history makes it possible to justify the sums claimed.

See also: Block management software for co-ownerships and syndics

Link to this question
How do you produce the annual charge statement for all owners?

The manager enters all actual expenses for the financial year and associates them with the corresponding allocation keys. The system then compares these actual charges with the provisions that were called during the year in order to automatically calculate individual balances. You can then download the statements and send them by email with a single click to all owners.

Property development

How do we create a new real estate development project in REOS?

The project is created within the development module alongside its legal framework, schedule and units, which populates the commercialisation grid. Each unit displays its price and status there, ensuring that the sales team and management share the same view of sales progress.

United Kingdom For the United Kingdom, the legal framework for off-plan sales specific to the market is configurable upon request.

See also: Property development software for off-plan sales

Link to this question
How are options and waiting lists managed for units in a new development scheme?

From the unit grid, you can place an option on a unit for a specified duration or add a contact to the waiting list. Expired options are lifted automatically each day and the first contact on the waiting list is notified, which prevents a unit from remaining blocked without follow-up.

See also: Property development software for off-plan sales

Link to this question
How is the payment schedule for a reservation constructed according to the construction stages?

The reservation schedule is constructed based on the construction stages and the percentages defined for the project, ensuring that each instalment corresponds to actual building progress. When the price or percentages change, the remaining pending instalments are recalculated.

United Kingdom For the United Kingdom, the stages and percentages are defined per project, and the legal framework specific to the market is configurable upon request.

See also: Property development software for off-plan sales

Link to this question
What is the procedure for issuing a fund call when a construction stage is completed?

You mark the stage as completed in the development module to trigger the dispatch of the corresponding fund calls. This action generates a PDF document with the payment details and sends it through the queue to each buyer whose reservation is confirmed.

See also: Property development software for off-plan sales

Link to this question
How can the buyer track the progress of their off-plan purchase?

The buyer receives a personal and revocable link to a page displaying their unit, construction progress, project documents, finish choices and schedule. They thus have access to up-to-date information without needing to create an account, and the agency can revoke this access at any time.

See also: Property development software for off-plan sales

Link to this question
Can we manage finish choices and supplementary quotes requested by buyers?

The finish catalogue presents the extras offered to buyers, including their VAT-inclusive price. For a selected choice, REOS produces a PDF quote, providing the buyer with a written record of the extra before it is integrated into their reservation tracking.

See also: Property development software for off-plan sales

Link to this question
How are off-plan reservation contracts signed?

The reservation contract is generated from the project template and then sent for simple electronic signature. The document is frozen at the time of sending, and once all parties have signed, the reservation is updated automatically during the daily run, which avoids manual tracking of signatures.

Portfolio and reporting

How can I view the financial indicators per property and for the entire portfolio?

The portfolio module calculates, per property and for the entire portfolio, rents, yields, cash flow after debt service, the occupancy rate, financial vacancy, the loan-to-value ratio and, for commercial leases, the weighted average lease term (WALT). These indicators are based on recorded leases, expenses and loans, ensuring consistency with day-to-day management.

See also: Property portfolio management, Estate agency dashboard

Link to this question
Is it possible to generate an owner report in PDF format for my clients?

The owner report is produced in PDF format from the portfolio indicators, and you can download it or email it to the owner. It presents the status of the properties consistently from one owner to another, which facilitates discussions regarding the performance of their investments.

See also: Tenant, co-owner and buyer portals, Property portfolio management

Link to this question
What does the agency dashboard contain within the portfolio module?

The agency dashboard brings together indicators relating to mandates, sales lead times, viewings and fees. It is calculated from data recorded in the workstation, allowing management to monitor commercial activity without manual consolidation.

Link to this question
How can I authenticate my external requests to the REOS REST API?

The read-only REST API uses a key created by an organisation administrator, which is transmitted in the authorisation header as a bearer token. Only the fingerprint of the key is stored in the database, meaning that a lost key must be replaced rather than retrieved, and each key grants access solely to the data of its organisation.

See also: Integrations, Security and data protection

Link to this question
How are the platform webhooks secured?

The platform webhooks transmit data as JSON POST requests and incorporate an HMAC-SHA256 cryptographic signature in their headers. This signature is calculated from a shared secret and the raw request body so that your server can verify the authenticity of each notification received. The service places these events in a dedicated queue to guarantee their delivery.

See also: Security and data protection, Integrations

Link to this question
What usage limits apply to the platform REST API?

Each key can perform up to 120 requests per minute, which protects the service for all clients. Results are paginated with a limit and a cursor, so large volumes can be retrieved in successive pages.

See also: Integrations

Link to this question
What happens if the transmission of a webhook to our server fails?

A response from your server outside the 2xx status codes is considered a failure, and transmission is retried during subsequent passes through the queue. After three unsuccessful attempts, the delivery is marked as failed, allowing you to identify the events that require processing on your end.

Artificial intelligence

Is the artificial intelligence layer billed in addition to the subscription?

Artificial intelligence is fully included in the subscription so that you can use it at no extra cost. Your consumption remains visible for information in the Subscription area under the AI Usage tab, but no calls are billed.

See also: Clear plans. Built to convert a portfolio into operations., Security and data protection

Link to this question
Which technology providers are used to operate the artificial intelligence?

The AI features rely on Google's Gemini models, with Groq as a fallback solution when Gemini does not respond, to ensure the service remains available. Responses expected in a structured format are verified before being displayed, and any non-compliant response is discarded in favour of a new attempt.

See also: Security and data protection

Link to this question
Are my professional data used to train the artificial intelligence models?

Your organisation's data are not used to train models. The assistant works with the permissions of the person querying it and only reads data from their organisation, meaning it cannot reveal information to which that person does not have access.

See also: Security and data protection

Link to this question
Is it possible to deactivate the artificial intelligence features for my organisation?

Yes. The AI layer can be deactivated for an entire organisation, for example when internal policy requires it. The assistant and AI tasks then refuse any requests, and the rest of the workstation operates normally. You simply need to request this from REOS via the portal.

See also: Security and data protection, AI for estate agencies, included

Link to this question
How are calls to the artificial intelligence tracked and optimised on the platform?

Each call is logged with the task, the model, the duration and the result, allowing usage to be tracked in the Subscription area under the AI Usage tab. An identical request concerning the same data is served from a cache for 24 hours, which speeds up the response without making a new call to the model.

See also: AI for estate agencies, included

Link to this question
In what way does the artificial intelligence assist with writing property listings?

The assistant reads the characteristics of the lot and its photos in order to propose a title and a description in the requested languages, among French, Dutch, English and Spanish. It also highlights any mandatory legal notices missing from the listing depending on the country, allowing you to complete them before publication. The proposed text is always reviewed by the agent before being saved.

See also: AI for estate agencies, included, Property listing syndication

Link to this question
What information can the artificial intelligence extract when reading documents?

The assistant reads four types of documents: tenant file documents, supplier invoices, technical or energy certificates and identity documents. It extracts useful fields such as income, invoice amounts or certificate expiry dates, and highlights what is missing, so that you only need to verify the values before saving them.

See also: AI for estate agencies, included, Documents and e-signature

Link to this question
How does the artificial intelligence help compare inventories of fixtures?

The assistant matches photos taken at check-in and those at check-out for a given room in order to propose a list of differences. Each discrepancy is qualified according to its nature and severity, whether it is normal wear and tear, minor damage or major damage.

See also: AI for estate agencies, included, Property inventory software for check-in and check-out reports

Link to this question
How can I use the artificial intelligence to write a viewing report?

After a viewing, you can dictate a voice message or enter a few notes, and the assistant generates a structured report, an evaluation of the visitor's interest on a scale from one to five, and a list of follow-up tasks with their due dates. You validate these proposals before they are saved, ensuring the agent retains control over the file.

Electronic signature

How does REOS handle simple electronic signatures for documents?

A simple electronic signature request in accordance with the eIDAS regulation freezes the document by storing the HTML and its SHA-256 fingerprint. Each signatory receives a personal link with a long, random token in order to authenticate, enter their name, draw their signature and consent to the act. This procedure retains the IP address, browser and timestamp to guarantee traceability.

See also: Documents and e-signature

Link to this question
What is the authentication procedure for an invited signatory?

The signatory receives a six-digit code to their email address in order to confirm that they are indeed the recipient of the link. This code is valid for ten minutes and permits five attempts, which limits fraudulent tries. The signatory then enters their name, draws their signature and confirms their consent.

See also: Documents and e-signature

Link to this question
What happens when all parties have signed the document?

When all signatories have affixed their signature, REOS generates a PDF certificate comprising the initial document, its fingerprint, the list of signatories and the complete audit trail. This certificate is then securely stored and sent by email to each participant, while the related file in the application updates automatically.

See also: Documents and e-signature

Link to this question
How does the system process pending signature requests?

A reminder is sent automatically to signatories who have not yet signed three days after dispatch. Without a signature within thirty days, the request expires, which prevents an outdated document from being signed when its content is no longer current.

See also: Documents and e-signature

Link to this question
Can you use pre-existing templates to initiate a signature?

Yes. Document templates contain variable fields, denoted between double curly brackets, which are populated from the relevant file. Templates provided by REOS are read-only to preserve a baseline reference, and you duplicate them to adapt them to your agency before sending them out for signature.

See also: Documents and e-signature

Link to this question
Which types of documents can be subject to an electronic signature?

Simple electronic signatures apply to documents produced within REOS, notably mandates, leases, off-plan reservation contracts and inventories of fixtures. The signed document is linked to the file it originates from, and this file is updated once all parties have signed.

See also: Documents and e-signature

Link to this question
Is it possible to use a qualified electronic signature?

Simple electronic signatures are included. A qualified electronic signature or strong identification depends on a contract between your agency and the provider concerned: it is therefore set up on a bespoke basis upon request via the portal, and REOS handles the configuration using your access details.

Security and GDPR

How is our agency data isolated from that of other clients?

Every record carries the identifier of the organisation to which it belongs, and access rules are enforced by the database itself rather than solely by the application. A query can therefore never return data belonging to another organisation, even in the event of an interface error.

See also: Security and data protection

Link to this question
How are roles and access rights managed within our organisation?

Access rights are assigned by role within the organisation, ensuring that each user sees only the functions required for their work. For example, the REOS subscription area and invoices are visible only to administrators and accountants, and this rule is enforced at the database level. Owners, tenants, co-owners and service providers have separate access rights that are restricted to their own file.

See also: Security and data protection

Link to this question
Where are our data and documents physically hosted?

Data and files are hosted within the European Union. Communications are encrypted in transit and data is encrypted at rest, which protects the personal and commercial information contained within a property portfolio.

How do public links shared with third parties function, and are they secure?

Public pages rely on long, random and revocable tokens that never reveal the raw identifier of a private record. This architecture allows you to revoke access at any time from the portal so that the relevant link ceases to function immediately.

How are outgoing emails managed to ensure traceability?

Emails are not sent directly from the screen interface: they are placed in a queue that sends them and retries up to three times in the event of a failure. Each transmission is logged, which allows you to verify that a statement, a reminder or a notification has indeed been sent.

Pricing and billing

What are the plans and pricing offered by REOS?

REOS offers four plans, the prices of which exclude VAT and depend on the number of units under management: Starter at 299 euros per month for up to 100 units, Professional at 799 euros per month for up to 500 units, Business at 1,999 euros per month for up to 2,000 units, and Enterprise starting from 4,000 euros per month for any volume beyond that. Each plan provides access to the same system, with higher-tier plans covering more units and operational features.

How is the unit that determines the plan calculated?

A unit corresponds to a lettable or sellable entity under management so that the pricing reflects your activity volume accurately. For example, a building with twenty apartments counts as twenty units rather than twenty-one, which simplifies the tallying of your portfolio.

Are user accounts limited depending on the chosen plan?

There are no limits on user accounts and no additional costs per seat, allowing your entire team to use the platform. The price is based solely on the units under management, which prevents you from having to exclude colleagues from the system.

Is a free trial available when creating an account?

Selecting a plan upon account creation initiates a seven-day trial to enable you to configure your data. Nothing is billed during this trial period, and the portal remains closed until a plan is selected.

Is it possible to change plans during the subscription period?

You can change your plan from the Subscription area to adapt it to the evolution of your portfolio. When the portfolio exceeds the threshold of the current plan, the transition to the next plan takes effect at the start of the following billing period. During the trial, a plan change does not incur any prorated charges, and a change may be refused while an overdue invoice remains unpaid.

How is the initial implementation billed?

Implementation is priced separately from the subscription according to portfolio size, number of branches, data quality and requested integrations, with the pricing page indicating a range of 2,500 to 25,000 euros. It covers data migration, template and permission configuration, as well as team training, and the amount is finalised following a scoping phase.

Where can invoices issued by REOS be consulted?

REOS invoices can be found in the Subscription area of the portal under the Invoices tab, which is restricted to administrator and accountant roles. This area is separate from the billing that your agency sends to landlords to ensure that the two domains are not confused.

How can a request or dispute concerning the subscription be submitted?

You can submit a question, a dispute, a request for an extension or credit note, a plan change or a payment notification from the Requests tab in the Subscription area. Setup, migration and integrations

How do you create an account on REOS and why does the portal initially remain closed?

You can create an account online by specifying your organisation, market and language, which determines the country rules and document language. The portal remains closed until a subscription plan is chosen because the unit and storage limits depend on it, and selecting a plan then opens a seven-day trial without billing.

How is data migrated from our current software to REOS?

Data migration is part of the implementation process: owners, units, leases, mandates and documents are extracted from your current software, mapped to the REOS model and then loaded. The price is determined after a scoping phase because it depends on the portfolio size and the quality of the source data.
