The full cycle of a tenancy

Property management software follows a property from marketing to the tenant’s move-out. In REOS, each step writes to the same records: the unit, the lease, the tenant and the landlord.

  • Applications: the applicant fills in a public form and uploads documents. AI reads the income on payslips; you compare applicants on the income-to-rent ratio.
  • Lease: an accepted application creates a draft lease. The lease is generated from a template and sent for e-signature; it becomes active once signed by all parties.
  • Check-in inventory: rooms, items, meters, keys and photos, signed on screen by the tenant and the agent.
  • Rent: one demand per lease and per month, sent with the amount, due date and payment code. A recorded payment sends the receipt.
  • Move-out: check-out inspection compared with check-in, damage costed, deposit released with deductions and a letter to the tenant.

Rent indexation

The indexation screen lists the leases reaching their anniversary date, the published index and the applicable rule. Indices are retrieved from Statbel and INSEE. The new rent is calculated, applied after confirmation, and the letter is sent to the tenant by email.

Payments and reminders

The bank statement is imported in CSV. Payments are matched by structured reference, then by reference, then by amount and name; uncertain lines wait for your approval. Arrears trigger reminders at three levels, with a PDF letter filed on the tenant record.

CODA or a direct bank connection depends on your contract with the bank. REOS configures it on request.

Leases in several countries

Each lease carries its legislation and its type: main residence, student, short-term, house share, commercial. Brussels, Wallonia, Flanders, France, Luxembourg, Spain and the Netherlands are available. A portfolio spread across several countries stays in one database, with the same screens for applications, rent, reminders and service charges.

Indexation uses the indices published by Statbel and INSEE. In Brussels, the EPC correction factor applies and indexation is refused without a valid certificate. In France, a home rated F or G is not reviewed. In Belgium, lease registration becomes a task due two months after signature; REOS closes it when you record the reference. In Flanders, the correction factor is flagged. In Wallonia, no EPC cap has applied since 1 November 2023. Belgian rent demands use the structured payment reference. Tenants receive their documents in their language. Rent deposits are recorded per lease whatever the country, including the Belgian blocked account, bank guarantee and CPAS guarantee, and the French security deposit, which can also be paid in cash.

Service charges, deposits and statements

  • Service charge statements per building and per period: actual costs apportioned by floor area, equal shares or shares, payments on account deducted, balance sent to each tenant.
  • Rent deposits per lease: type, institution, reference, status and release.
  • Monthly landlord statements in PDF and SEPA transfer file for payouts.
  • Tenant portal: lease, due dates, payments, documents, tenancy certificate and issue reporting.

The demo covers these functions on a structure close to your portfolio, which makes it possible to check that they meet your needs.
