A structured inventory

Property inventory software replaces the paper form and the photos scattered across a phone. In REOS, the inventory is a record linked to the unit and the lease. It is completed on site, in the browser of a tablet, phone or computer.

  • Rooms: entrance hall, living room, kitchen, bedroom, bathroom, toilet, cellar, garage, or any added room.
  • Items per room: walls, floor, ceiling, doors, windows, lighting, sockets, radiators.
  • Condition of each item: new, good, normal wear, worn, damaged, missing, with comment and photo.
  • Meters: electricity, gas, water, heating, with number and reading.
  • Keys: front door, building door, letterbox, cellar, remote control, with the count.
  • General remarks.

Signature and PDF

The tenant and the agent sign on screen. Once signed, the content can no longer be edited. The PDF is generated and filed with the lease; the tenant finds it in their portal. An inventory can also be generated from a template and sent for remote e-signature.

Check-in and check-out comparison

At check-out, REOS opens the check-in inventory for the same lease or unit. AI compares the photos room by room and proposes changes in condition and damage, classified as normal wear, minor damage or major damage. The agent approves each proposal, sets the amounts and ticks those to be deducted.

The total deducted goes directly into the release of the rent deposit, with the letter sent to the tenant.

Preparing the inventory

The inventory is created from the lease or from the list of inventories, with its type: check-in or check-out. Rooms and common items are chosen from predefined lists, then completed freely. A room added by mistake can be removed before signature.

Photos are taken with the camera of the tablet or phone and stay attached to the relevant item. Meter readings and the number of keys handed over are in the same document, so no second form is needed for the key handover.

Inventories in several countries

The check-in inventory is linked to the lease and the unit, whatever the country of the lease. The signed PDF is filed with the lease. At check-out, the costed deductions feed directly into the release of the rent deposit and the letter to the tenant. In Belgium, this covers every deposit type: blocked account, bank guarantee or CPAS guarantee. In France, it feeds the return of the security deposit. The inventory follows the same steps in every country: rooms, items, meters, keys, photos, on-screen signature and a locked PDF. The tenant finds the signed document in their portal, in their language. Inventory templates exist by market and language and can be duplicated and adapted with variable fields, so each agency keeps its own layout and wording.

Within the tenancy cycle

  • Signed lease, then check-in inventory.
  • Issues reported by the tenant during the tenancy, works orders and invoices charged to the unit.
  • Check-out inspection, comparison, deductions and deposit release.
  • History kept on the unit record for the next tenancy.

Find the plan that fits your organisation

These five questions recommend the plan from the Pricing page that matches your portfolio, and then prepare a demo on that basis.

How many agencies or legal entities does your organisation have?

The multi-agency and multi-entity structure is included from the Business plan.

Which functions would be useful from the start?

This question is optional; the functions listed are those of the plan comparison table.

Frequently asked questions

Can the inventory be done on a tablet?
Yes. REOS runs in the browser of a tablet or phone, including photos.
Does the on-screen signature count as a signature?
The tenant and the agent sign on screen; the document is then locked and filed as a PDF. An e-signature with code and certificate is also available.
How does AI compare check-in and check-out?
It compares photos of the same rooms and proposes differences. The agent approves each proposal; nothing is deducted without the agent.
Do we need to install an app?
No. The inventory is done in the browser.
Is the inventory included in the subscription?
Yes, with lettings and property management. AI is included in the subscription.
