Rent and finance

Frequently asked questions on “Rent and finance”, with the details specific to your market where the rules depend on it.

How are rent requests and receipts managed in REOS?

REOS issues a monthly rent request for each active lease, detailing the amount, the due date and the agency bank details. Once the payment is recorded, the receipt is generated in PDF format, sent to the tenant by email and filed in their documents, so that both the tenant and the agency have access to the same supporting document.

In what way are unpaid rent reminders sent to tenants?

Unpaid amounts are subject to three reminder levels: a first reminder, a second reminder and then a formal notice. Each reminder is produced in PDF format and actually sent to the tenant, and the same level can only be sent once for a given due date, which prevents sending the same letter twice.

How do bank statement imports and payment matching work?

You import the CSV export from your bank, specifying the column mapping the first time, which is then saved for subsequent imports. Payments are matched with requests first by the payment reference, and then by the amount and the name, so that each payment is linked to the correct due date. Automatic import from the bank is custom built upon request.

How are owner statements and SEPA transfers calculated?

The owner statement lists, for the period, the collected rents, the fees provided for in the mandate and the expenses allocated to the units, in order to establish the net amount to be transferred. Each line refers back to its origin, allowing the owner to verify the calculation. The statement serves as the basis for the SEPA transfer file.

How does REOS handle the annual indexation of rents according to countries?

The indexation screen displays active leases whose anniversary date falls within the month and calculates the new rent based on the published index applicable to the lease. When the required index is not yet published, the calculation is not proposed because the system does not estimate any figures.

United Kingdom For the United Kingdom, REOS tracks the anniversary date of each lease and notifies the team, and the index as well as the market-specific updating rules are configurable upon request.

How does the agency issue its own invoices and credit notes to its clients?

The invoicing screen allows the agency to issue invoices intended for its owners and clients with continuous numbering locked by the server without any gaps or duplicates. Once an invoice has been issued, it can no longer be modified, so you must issue an associated credit note if any changes are necessary.
