Electronic signature
Frequently asked questions on “Electronic signature”, with the details specific to your market where the rules depend on it.
How does REOS handle simple electronic signatures for documents?
A simple electronic signature request in accordance with the eIDAS regulation freezes the document by storing the HTML and its SHA-256 fingerprint. Each signatory receives a personal link with a long, random token in order to authenticate, enter their name, draw their signature and consent to the act. This procedure retains the IP address, browser and timestamp to guarantee traceability.

Link to this questionWhat is the authentication procedure for an invited signatory?
The signatory receives a six-digit code to their email address in order to confirm that they are indeed the recipient of the link. This code is valid for ten minutes and permits five attempts, which limits fraudulent tries. The signatory then enters their name, draws their signature and confirms their consent.

Link to this questionWhat happens when all parties have signed the document?
When all signatories have affixed their signature, REOS generates a PDF certificate comprising the initial document, its fingerprint, the list of signatories and the complete audit trail. This certificate is then securely stored and sent by email to each participant, while the related file in the application updates automatically.

Link to this questionHow does the system process pending signature requests?
A reminder is sent automatically to signatories who have not yet signed three days after dispatch. Without a signature within thirty days, the request expires, which prevents an outdated document from being signed when its content is no longer current.

Link to this questionCan you use pre-existing templates to initiate a signature?
Yes. Document templates contain variable fields, denoted between double curly brackets, which are populated from the relevant file. Templates provided by REOS are read-only to preserve a baseline reference, and you duplicate them to adapt them to your agency before sending them out for signature.

Link to this questionWhich types of documents can be subject to an electronic signature?
Simple electronic signatures apply to documents produced within REOS, notably mandates, leases, off-plan reservation contracts and inventories of fixtures. The signed document is linked to the file it originates from, and this file is updated once all parties have signed.

Link to this questionIs it possible to use a qualified electronic signature?
Simple electronic signatures are included. A qualified electronic signature or strong identification depends on a contract between your agency and the provider concerned: it is therefore set up on a bespoke basis upon request via the portal, and REOS handles the configuration using your access details.
