Plan and track viewings

Plan viewings, send the confirmation with the calendar file, and record the outcome and interest level of each visitor.

Purpose

The “Viewings” screen lists past and upcoming viewings with the unit, the prospect, the status, and the expressed interest. It allows you to confirm each appointment by email and record its outcome, so that this information then feeds into the weekly report sent to the owner.

Automated mailings complete the follow-up, including a reminder the day before, a confirmation request sent to the agent when the viewing has not been closed, and a feedback request sent to the visitor.

Where to find it

  1. Sales
  2. Viewings

Viewings also appear in the “Calendar”.

Steps

  1. Click on “New” to open the “New viewing” form, and then enter the mandatory “Date and time”, the “Unit”, the “Prospect”, and the “Agent”.
  2. Specify the “Duration, minutes” and save.
  3. Click on “Send confirmation” on the row of a “Planned” viewing so that the visitor and the agent receive an email with an attached calendar file.
  4. After the viewing, click on “Held”, or on “No show” if the visitor did not attend.
  5. Open the record to note the “Interest, 1 to 5” and the “Feedback”, which will be included in the weekly report to the owner.

Good to know

  • A reminder is sent to the visitor and the agent approximately 24 hours before the viewing when it has been scheduled more than one day in advance.
  • If a viewing remains “Planned” two hours after its end, the agent receives a notification and an email asking them to confirm that it took place.
  • The visitor of a held viewing receives a feedback request, and their rating appears in the “Interest” column as ☆ x/5.
  • The “Copy booking link” action copies the address of the online booking page for the listing published for this unit.
