Purpose
The Calendar brings together viewings, appointments and due tasks in a single view, in order that each agent knows what to expect at any time and that the manager can distribute the team workload.
The hourly grid, from 7 am to 9 pm, allows you to spot overlaps at a glance and to move an entry by dragging and dropping it.
Where to find it
- Calendar
Entry placed at the top of the menu, before the business groups.
Steps
- Open “Calendar” and choose the “Day”, “Week”, “Month” or “List” view depending on the period you want to examine.
- Select “Mine”, “The whole team” or the name of a colleague in “Calendar of” in order to display the corresponding planning.
- Click on “New” or directly on a free time slot in the grid to create an “Appointment” or a “Viewing”.
- For an appointment, fill in the “Title”, “Date”, “Starts” and “Ends”, and then, if necessary, the “Place”, “Participants” and “Linked record” in order to attach the entry to a file.
- For a viewing, choose the visited “Unit”, the “Visitor” and the “Duration”, in order that the viewing is recorded in the viewings register.
- Drag an entry to another time slot to move it, as a viewing or an appointment keeps its duration, while a task simply changes its due day.
- Click on an entry to open its panel, from where you can “Edit”, “Delete”, “Open record” or, for a task, “Mark done”.
Good to know
- Tasks only appear in the Calendar if they have a due date, and they are created and tracked in the “Planning”.
- The panel for a scheduled viewing offers “Send confirmation”, which sends an email to the visitor and to the agent, as well as “Copy booking link” when the unit has a published listing.
