Purpose
The Planning module acts as the register for all organisation tasks, whether they are created by a staff member, through automation or from a visit report, in order to ensure that nothing relies on individual memory.
Each task carries a due date, a priority and an assignee, which allows you to distribute the workload and locate it in the Agenda on the scheduled date.
Where to find it
- Operations
- Planning
Steps
- Open “Planning” and click on “New” in order to display the “New task” form.
- Fill in the “Title”, the “Due”, the “Priority” and the “Assigned to” field, and add a “Description” if necessary.
- Sort the list by “Due” or by “Priority” in order to process urgent matters first.
- Click on “Open record” to access the unit, the lease, the ticket, the owner, the building or the mandate to which the task is attached.
- Click on “Complete” when the task is fulfilled, or on “Reopen” to set it back to in progress, as both actions also apply to a selection of multiple tasks.
Good to know
- Tasks with a due date appear in the Agenda, where they can be moved from one day to another using drag and drop.
- The “My tasks” screen displays the same list, restricted to the tasks assigned to you.
- An automation whose action is “Create a task in planning” populates this screen on a daily basis.
- Open tasks with a due date also appear in the calendar subscription of their assignee.
