Sending documents for signature

Generate a document from a model, send it to each signer by email, and track the signatures until the certificate is issued.

Purpose

The “Signatures” module allows you to electronically sign a mandate, a lease, an offer, a reservation, an inventory of fixtures, or a work order, in accordance with the simple electronic signature regime provided by the eIDAS regulation.

The document is locked at the time of sending and its fingerprint is stored, so that the final certificate attests that the text signed by all parties is identical to the one that was sent.

Where to find it

  1. Operations
  2. Signatures

Requests can also be initiated from a record, such as a mandate or a lease.

Steps

  1. Open “Signatures” and click on “New request” in order to open the “Send for signature” window.
  2. Choose the “Model” and specify the “Document title”.
  3. Complete the “Signers” section with the “Name”, the “Email address”, and the “Capacity” of each person, and use “Add a signer” if necessary.
  4. Fill in the “Fields” of the model and check the result in the “Preview”.
  5. Click on “Send for signature”: each signer receives a personal link by email.
  6. Track the status of each signer in the “Signers” column (“Not opened”, “Open”, “Signed”, or “Declined”) and use “Remind” to resend the link to signers who are “Pending”.
  7. When the request is “Signed”, click on “Certificate” to obtain the PDF certificate, or on “Document” to open the sent document.

Good to know

  • An automatic reminder is sent to signers three days after the initial sending, and the request expires after 30 days.
  • When all parties have signed, the certificate is sent to each of them by email and the linked record is updated.
  • The “Cancel” action prevents any further signature on a “Pending” request.
  • Qualified electronic signature requires a custom configuration, which is presented at the bottom of the screen.
