Generating a document from a record

From a mandate, an offer, a lease, or a reservation, you can generate the document from the template and send it for signature.

Purpose

Generating a document from a record prevents you from having to copy data manually, because the composer selects the active template of the desired type, adapted to the market and the language of the organisation, and then prefills the fields and the signers using data from the record.

When all parties have signed, the original record is updated in order to allow you to track the progress of the file without requiring additional data entry.

Where to find it

  1. Portfolio
  2. Mandates

Also available from “Offers”, the panel of a lease in “Leases”, and the record of a reservation in “Reservations”.

Steps

  1. On the “Mandates” screen, click on “Generate and send for signature” in the row corresponding to the mandate, use “Written offer for signature” on the “Offers” screen, or click on “Generate the lease” in the panel of a lease.
  2. Check the proposed “Model” and change it if necessary by selecting one of the active templates of the same type.
  3. Verify the “Fields” that were prefilled from the record and complete any fields that remain empty.
  4. Check the list of “Signers”, which is retrieved from the record, and add more signers if necessary.
  5. Review the “Preview”, and then click on “Send for signature”.

Good to know

  • If no active template exists for the document type, the window displays “No active template for this document type.”, in which case you must create or activate a template in “Templates” first.
  • For a mandate, the mandator must have an email address, whereas for a lease, a tenant with an email address must be linked to the record.
  • The created request appears on the “Signatures” screen, with the linked record displayed in the corresponding column.
