Lettings

Managing leases

Create and track the leases for your units, from draft to the end of the contract, including rent, charges, deposit and applicable legislation.

Purpose

The "Leases" screen brings together the letting contracts so that each lease is linked to its unit, its potential mandate and its tenants. Its amounts then feed into the rent demands, indexation and charge statements, which avoids any manual re-entry.

Where to find it

  1. Letting
  2. Leases

The "File" button on a row opens the lease panel.

Steps

  1. Click "New" to open the "New lease" form.
  2. Select the "Unit" and, if applicable, the management "Mandate", in order that the rents are attributed to the correct owner.
  3. Enter the "Lease type", the "Legislation", the "Starts" and "Ends" dates, the "Rent", the "Charges", the "Deposit" and the "Payment day".
  4. Complete the "Indexation index", the "Indexation month" and the "Next indexation" so that the lease appears in good time within the "Indexation" screen.
  5. Save, then open the lease using "File" in order to attach the tenants and guarantors to it.
  6. Use "Activate" when the lease takes effect, or "Terminate" to end it after confirmation.

Good to know

  • "Activate" applies exclusively to a lease with "Draft" status, and can be launched on several selected leases in a single operation, whereas "Terminate" applies to an "Active" lease or one with "Notice given".
  • For a "Sales" lease, the "Commercial lease" block contains the "Exit options", the "Break option" and the "Rent review".
  • The panel also groups together the "Inspections" and the "Documents" for the lease, including the signed contract.
