Opening the tenant portal

Send the tenant a personal link to their area in order to access their lease, due dates, documents, incident reporting and downloadable certificates.

Purpose

The tenant portal provides the tenant with online access, without requiring an account or a password, to the “Tenant area” of their file. They can view their lease, their “Due dates and payments” and their “Documents”, download a “Tenancy certificate” or the statement of paid rents for a given year, and “Report an incident” complete with a description and a photo.

This self-service feature reduces the number of requests sent to the agency, while every reported incident is forwarded to the team and recorded in the maintenance module in order to be processed as a service request.

Where to find it

  1. Letting
  2. Tenants

Row action “Invite to the portal”, or the “Tenant portal” block in the panel.

Steps

  1. Verify that the tenant file contains a valid email address.
  2. Click on “Invite to the portal” from the list or from the tenant panel.
  3. The tenant receives an email in their language, containing the personal link to their area.
  4. Check the date the link was sent and the date of the last visit in the “Tenant portal” block.
  5. Use “Send a new link” if the tenant has lost the previous one, or “Revoke access” to close the portal after confirmation.

Good to know

  • Only one link remains active at a time, meaning that sending a new link immediately deactivates the previous one in order to limit risks if the email is forwarded.
  • The tenant only sees the documents from their file and from their leases that fall under the relevant categories, such as the lease, inventory of fixtures, energy certificate, indexation, or certificate.
  • An incident report can be flagged as urgent, including water damage, lack of heating, or security issues, in order to help the agency prioritise it.
