Purpose
The release process closes the deposit by distributing its amount between the justified deductions and the "Returned to the tenant" sum. When the exit inspection for the letting includes costed damage, those amounts are retrieved automatically in order that the final statement matches the inspection report.
REOS then compiles a PDF letter detailing the deposit, each deduction and the balance, sends it by email to the tenant and files it among the documents, which ensures full traceability of the refund.
Where to find it
- Letting
- Deposits
Click the “Release” button on a row.
Steps
- Click “Release” on the row corresponding to the deposit.
- Check the “Deductions” retrieved from the exit inspection or, if none are present, enter them using “Add a deduction” by specifying a “Description” and an “Amount”.
- Add a “Note on the letter” intended for the tenant if necessary.
- Verify the “Retained” and “Returned to the tenant” amounts displayed below the deductions.
- Confirm the release, so that the letter is generated and sent to the tenant.
Good to know
- The release is refused whenever the deductions exceed the deposit amount, in order to prevent an inconsistent statement.
- The deposit status changes to “Released” when there are no deductions, or to “Partial” when a portion is retained, and the “Released on” date is populated.
- If there is no costed exit inspection, the window displays "No exit inspection with costed findings. Enter the deductions.".
