Obtaining the inspection signature on site

Collect the tenant and agent signatures on screen in the editor, and then lock the inspection in order to freeze its content.

Purpose

Signing on site allows you to finalise the inspection in the presence of all parties, without requiring printing or subsequent sending. The tenant and the agent sign directly on the screen, using a finger or a stylus, within the "Signatures" block of the editor.

Once signed, the inspection is locked, meaning that rooms, meters, and keys can no longer be modified, in order to guarantee that the document remains consistent with what was observed and accepted.

Where to find it

  1. Letting
  2. Inspections

Inspection editor, "Signatures" block.

Steps

  1. Complete the description of the rooms, meters, and keys, and then click on "Save".
  2. Have the tenant sign in the "Tenant" area, followed by the agent in the "Agent" area, noting that "Clear" allows you to restart a signature.
  3. Click on "Sign the inspection" and confirm, bearing in mind the fact that the content will no longer be editable.
  4. Click on "PDF" in order to generate the signed document, which is filed with the lease.

Good to know

  • Both signatures are mandatory, because without them, the portal displays "Both signatures are required." and the inspection remains editable.
  • The editor header indicates the signature date, and the list displays the "Signed" status in order to distinguish final documents from drafts.
  • The PDF filed with the lease is visible to the tenant in their portal, in order to prevent them from having to request a copy from the agency.
