Lettings

Consulting tenant files

Find each tenant with their leases, payments, incidents, and documents, and manage their access to the tenant portal.

Purpose

The “Tenants” screen displays individuals linked to a lease as a tenant or accepted from an application, in order to serve as a single file where a tenant panel gathers their “Leases”, “Payments”, “Incidents”, and “Documents”, which enables you to answer a question without navigating through multiple screens.

The list also indicates, for each person, the current lease and the status of their “Tenant portal” (“Open” or “Closed”).

Where to find it

  1. Letting
  2. Tenants

The “File” button opens the tenant panel.

Steps

  1. Click “New” to create a record using the “New tenant” form, making sure to fill in at least the “Name”.
  2. Complete the “First name”, “Email”, “Telephone”, and “Language”, because the language determines the language used for letters and emails sent to the tenant.
  3. Open the file with “File” in order to consult the person's leases, payments, incidents, and documents.
  4. Click on a row in the “Leases” or “Incidents” block to directly open the corresponding lease or maintenance record.
  5. Use “Invite to the portal” to grant the tenant online access to their file.

Good to know

  • A contact record added to a lease with the “Tenant” role is automatically classified among the tenants.
  • The displayed documents include those from the record and those from the tenant's leases, particularly rent receipts, reminder letters, and guarantee release letters filed by REOS.
  • Without an email address, the portal invitation is impossible and the panel displays “This record has no email address.”.
