Publishing an application link

Share a public link per listing or per unit so that applicants can submit their file and supporting documents online.

Purpose

The public application form allows the applicant to submit their complete file independently, including their identity, number of occupants, desired move-in date, profession, employer, net monthly household income, message, and supporting documents, in order to provide the agency with structured and comparable files rather than a succession of emails.

A link exists for each published rental listing, and a link can be created for any unit when the property is not advertised.

Where to find it

  1. Letting
  2. Applications

Use the “Application link” button at the top of the list.

Steps

  1. Click on “Application link”.
  2. For a unit, select it from the list and then click on “Create the link”; for a listing, locate it under “Published rental listings”.
  3. Click on “Copy” and distribute the link to applicants, for example after a viewing.
  4. The applicant completes the form, adds their documents, gives their consent to data processing, and clicks on “Send the application”.
  5. Access the file in the list with the status “Received”, so that the team is notified via a system notification and an email.
  6. Click on “Disable” when the link for a unit should no longer receive applications.

Good to know

  • The applicant can attach up to twelve documents in PDF or image format, with a maximum size of 15 MB each, specifying for each whether it is an identity document, a proof of income, an employment contract, or another document.
  • A confirmation email is sent to the applicant as soon as they submit their application.
  • A file that has been started but never submitted is automatically deleted after one week.
