Perform an inspection

Describe the condition of the property room by room, including photos, meter readings, and keys, in order to produce the PDF document filed with the lease.

Purpose

The “Inspections” screen gathers the “Move-in” and “Move-out” inspections for each unit. The editor is designed for on-site use on a tablet or smartphone, as large buttons, direct photo capture, and a default list of rooms and features accelerate data entry.

The resulting document serves as a binding reference between the tenant and the landlord, and the move-in inspection is reused at move-out in order to highlight any changes.

Where to find it

  1. Letting
  2. Inspections

Clicking the “Edit” button on a row opens the editor.

Steps

  1. Click “New” and fill in the “Unit”, the “Lease”, the “Type” (“Move-in” or “Move-out”), and the “Date” in “New inspection”.
  2. Click “Edit”, then indicate the present “Tenant” and “Agent”.
  3. Add each room using “Add a room”, as common features (walls, floor, ceiling, doors, windows, etc.) are suggested automatically.
  4. For each feature, choose the “Status”, add a “Comment”, and take a “Photo” if necessary.
  5. Complete the “Meters” with their “Number” and their “Reading”, followed by the handed-over “Keys” and the “General notes”.
  6. Click “Save”, then click “PDF” in order to produce the document, which is filed with the lease.

Good to know

  • The available statuses range from “New” to “Missing”, which allows for an objective comparison between move-in and move-out.
  • The PDF includes photos of the rooms, features, and meters, as well as signatures when they have been collected.
  • The inspections for a lease are also accessible from the lease panel in the “Inspections” block.
