Purpose
The mandate defines what you manage for an owner and what you bill, and each mandate automatically receives the next number from the register, which is a continuous number that is never reused or editable in order to guarantee the maintenance of a consistent mandate register.
The screen brings together the main lifecycle actions, which include submission for signature, weekly reports to the vendor, the works approval threshold and termination.
Where to find it
- Portfolio
- Mandates
The “Register (CSV)”, “Register (PDF)” and “New” buttons are located at the top of the list.
Steps
- Open “Mandates” and click on “New” in order to open the “New mandate” form.
- Choose the “Owner”, which is compulsory, followed by the “Building” and, where applicable, the relevant “Unit”.
- Select the “Type” (“Sale”, “Letting”, “Management” or “Co-ownership”), the “Status”, the dates for “Starts” and “Ends” and the “Notice, days”.
- Enter the “Asking price” and the remuneration using the “Commission model”, the “Commission rate (%)” or the “Fixed commission”.
- Save the entry, and the register number will appear in the “No.” column.
- To terminate an “Active” or “Expiring” mandate, click on “Terminate” and confirm.
Good to know
- The “Register (CSV)” and “Register (PDF)” buttons download the complete mandate register, including the number, date, principal, address, nature, dates, price, remuneration and status.
- The “Works approval threshold (€)” action, available for management and letting mandates, sets the amount above which works require the owner's agreement.
- Mandates that are reaching their term appear in the “Deadlines” screen, giving you time to organise their renewal.
