Purpose
Sending for signature produces the mandate document from your organisation's template by automatically transferring the principal, the property, the register number, the price and the remuneration, in order to avoid any re-entry.
When all signatures are collected, the mandate switches to the “Active” status, its signature date is recorded and the signed document is attached to it, so that the register reflects the actual status of the mandate.
Where to find it
- Portfolio
- Mandates
Action “Generate and send for signature” on the row of a mandate in the “Draft” status.
Steps
- Verify that the principal has an email address on their file, as otherwise the sending is refused.
- Click on “Generate and send for signature” on the row of the mandate in “Draft”, so that a window summarises the principal, the number, the address, the price and the remuneration.
- Click on “Generate and send for signature” again in order to open the document preparation.
- Choose the “Model”, check the pre-filled “Fields” and the “Document title”, and then verify the list of “Signers” or click on “Add a signer”.
- Consult the “Preview”, and then click on “Send for signature” in order for each signer to receive a personal link by email.
Good to know
- A template of the mandate type must be active in “Templates”, otherwise the portal displays “No active template for this document type.”.
- A reminder is sent to the signers after three days, and the request expires after thirty days if it has not been signed.
- Detailed tracking of each request (sending, opening, signature) is available in the “Signatures” screen.
