Portfolio

Filtering, exporting and batch processing

Search, filter, export to CSV and edit multiple records at once within the portfolio and commercial lists.

Purpose

The portal lists (buildings, units, owners, mandates, leads, viewings and other registers) share the same search, sorting, export and batch processing tools, in order to allow you to act on numerous records without opening them one by one.

The export replicates exactly what the screen displays, in the displayed order, so that the resulting file corresponds to the selection you have prepared.

Where to find it

  1. Portfolio
  2. Units

The same tools appear at the top of each list: the “Filter this list” field, filters, the “Export” button and selection checkboxes.

Steps

  1. Enter a term into the “Filter this list” field in order to narrow down the displayed rows, and then use the available filters (status, type or stage depending on the screen).
  2. Click on a column header to sort the list, and click again to reverse the order.
  3. Click on “Export” to download the displayed rows into a semicolon-separated CSV file, which European spreadsheet software opens directly.
  4. Tick the rows to be processed, or use “Select every row”, in order to display the batch actions bar.
  5. Choose a screen-specific batch action (for example “Available”, “Reserved” or “Sold” for units), or use “Change status” to apply the same status to the entire selection.
  6. Use “Delete selection” only after verification, because the deletion is confirmed and then final.

Good to know

  • A batch action applies only to the rows for which it is meaningful: a unit that is already sold, for example, is not offered for “Reserved”.
  • Within a form, “Customise fields” allows you to hide optional fields that you do not use, and this choice is saved in your preferences.
  • The address of a list whose record is open can be shared with a colleague, because it reopens the exact same record directly.
  • The N key opens the creation form, and the Ctrl+S shortcut saves the current form.
