Purpose
The supplier page prevents scattered email exchanges because the provider indicates each step of the intervention themselves on a public page dedicated to the work order, and the agency is notified immediately.
The entered information updates the order in REOS directly, which allows you to track the quote, the visit date, and the invoice without any manual reentry.
Where to find it
- Operations
- Work orders
The link is sent by email to the supplier during the "Send" action or after the owner’s approval.
Steps
- Send the order to the supplier using "Send"; they receive an email drafted in the language specified on their profile, containing the link to the "Work order" page.
- The supplier enters the "Amount incl. VAT" of their quote, attaches a "File (PDF or image)", and clicks on "Send the quote".
- They specify the "Visit date" and click on "Save the date", which changes the status of the order to "Scheduled".
- Once the work is completed, they enter the "Completed on" date and click on "Record completion".
- They fill in the "Invoice number", the "Supplier invoice date", and the "Amount incl. VAT", then click on "Upload the invoice", which changes the status of the order to "Invoiced".
Good to know
- Each step triggers an email to the person who created the order, or failing that, to the agency address, along with any comment from the supplier.
- As long as the owner’s approval is pending, the page displays "This work order is awaiting the owner’s approval." and does not accept any entries.
- A closed order can no longer be modified from the supplier page.
- The uploaded quote and invoice can be opened in REOS via the "Quote" and "Invoice" actions on the row.
