Establish service charges statements

Compare the advances received with the actual expenses of a building, distributed by lot and in proportion to the occupancy, and then send the statements.

Purpose

The service charges statement compares, for a building and a period, the advances actually paid by each tenant with the actual expenses. The expenses are distributed among the lots according to a key (“Surface”, “Equal shares” or “Weights”) and then proportionally to the occupancy duration of each lease, which provides a fair statement when a tenant arrives or departs during the period.

Upon issuance, each tenant receives their statement as a "PDF" and the balance is recorded as an amount to be paid or refunded.

Where to find it

  1. Letting
  2. Service charges

Steps

  1. Click on "New statement", choose the "Building" and the period (“From”, “To”).
  2. Click on "Copy recorded expenses" in order to import the expenses of the lots for the period, or add them with "Add a cost".
  3. Assign each expense its distribution key in the "Key" column and, for the "Weights" key, fill in the "Weights per unit".
  4. Click on "Compute" and verify, for each lease, the "Occupancy", the "Advances", the "Actual" and the "Balance".
  5. Click on "Issue and send" and confirm so that each tenant receives their statement by email.

Good to know

  • The retained advances are those from the rent calls actually paid over the period, which prevents crediting a tenant for charges that they have not paid.
  • A non-zero balance becomes an amount due at 30 days in the transactions, with its own payment communication, in order to be monitored and chased like a rent.
  • Once issued, the statement can no longer be modified and the "PDF" button on each line allows you to reopen the sent document.
