Following up on unpaid rents

Track late rents and send, level by level, a first reminder, a second reminder and then a formal notice by e-mail.

Purpose

The “Reminders” screen lists amounts with the “Late” status, alongside the number of days “Late by” and the “Last reminder” sent. It structures the follow-up process into three levels, namely “First reminder”, “Second reminder” and “Formal notice”, in order that each tenant receives correspondence proportional to the age of the debt.

Each level generates a PDF letter, which is sent to the tenant by e-mail and filed in their documents, in order to constitute a legally valid history in the event of recovery.

Where to find it

  1. Letting
  2. Reminders

Steps

  1. Open the “Reminders” screen and identify the rows with the most significant delay, which are highlighted in orange after 30 days and in red after 60 days.
  2. Click on the suggested level button (“1”, “2” or “3”) on the relevant row.
  3. Review the text of the letter within the confirmation window.
  4. Click on “Send by e-mail” in order to send the letter to the tenant with the PDF attached.
  5. Use “Print or save as PDF” if postal dispatch is also necessary.

Good to know

  • The same level can only be sent once per amount, in order to prevent sending the same letter twice.
  • The dispatch is only logged once the e-mail is registered in the sending queue, and if the tenant has no e-mail address, the action is refused with an explicit message.
  • Following the formal notice, the portal reminds you that the next step is recovery.
