Issue, send, and credit an invoice

Issue the invoice to assign its number, send it by email with its PDF, track its payment, and create a credit note if necessary.

Purpose

Issuing an invoice assigns it a definitive number and generates its PDF, which is then archived. From this point on, the invoice can no longer be modified in accordance with billing regulations: any correction must be made via a credit note, which preserves the continuity of the numbering sequence.

The issued invoice receives a reference so that the client settles the exact amount with the correct identifier.

Where to find it

  1. Finance
  2. Billing

Row actions “Issue”, “PDF”, “Send”, “Mark paid” and “Credit note”.

Steps

  1. Click on “Issue” on a draft invoice, or on several selected invoices.
  2. Click on “Send”, specify the “Recipients” separated by a comma and, if you wish, a “Message (optional)”.
  3. Confirm the sending: the invoice is sent by email with its PDF as an attachment.
  4. Click on “Mark paid” when the payment is received.
  5. To cancel or correct an issued invoice, click on “Credit note”: a draft credit note containing the entire invoice is created, which you then adjust and issue.

Good to know

  • An invoice without any lines cannot be issued; the portal requires you to add at least one line.
  • A credit note issued for the total amount of an unpaid invoice changes the status of that invoice to “Cancelled”.
  • A maximum of ten recipients can be specified for a single sending.
