Co-ownership

Preparing and convening the general meeting

Plan the meeting, establish the agenda with the required majority for each item, and then send the notice by email.

Purpose

The “General meetings” screen brings together the ordinary and extraordinary meetings of all your “Co-ownership” properties. The file for a meeting contains the agenda, the notice, the attendance list, the votes, and the minutes, so that the entire session can be prepared and concluded in one place.

The notice is generated as a PDF and sent to each co-owner with the agenda, the proxy form, and, if “Online voting before the meeting” is enabled, their personal voting link.

Where to find it

  1. Co-ownership
  2. General meetings

Steps

  1. Click on “New”, choose the “Co-ownership” and the “Type”, then indicate the “Date and time”, the “Place”, and, if applicable, the “Video link”.
  2. Leave the “Online voting before the meeting” box checked if co-owners must be able to vote remotely, then save.
  3. Open the meeting and add each item with “New agenda item”, specifying its “Title”, “Description”, and “Required majority”.
  4. Click on “Notice (PDF)” to review the document before sending.
  5. Click on “Send the notice” so that each co-owner receives it by email; use “Send again” if the agenda has been modified.

Good to know

  • The list of majorities includes the absolute majority, two-thirds, four-fifths, unanimity, and the information item without a vote.
  • Sending the notice also establishes the attendance list based on the lots.
