Co-ownership

Opening the owner portal

Provide each owner with a personal link to their calls, payments, statements, meetings, documents, and incident reporting.

Purpose

The owner portal is a personal page, accessible without a password via a link unique to each holder. It allows the owner to consult their balance, fund calls, payments, annual statements, general meetings, and co-ownership documents, in order to reduce information requests sent to the property manager.

From this portal, the owner can also report an incident in the common areas; the report creates a maintenance request and a follow-up task for the property manager.

Where to find it

  1. Co-ownership
  2. Co-ownerships

Co-ownership file, “Owner accounts” tab, “Owner portal” column.

Steps

  1. Open the co-ownership, then the “Owner accounts” tab, which displays the called amount, paid amount, “Balance”, and “Overdue” for each holder.
  2. Click on the name of an owner to display their detailed “Account”, including the debit, credit, and balance of each entry.
  3. Click on “Send access” so that the owner receives their personal link by email, or on “Copy the link” to transmit it by another means.
  4. Monitor the access status using the “Sent” and then “Open” labels, which indicate that the owner has accessed their portal.
  5. Click on “Revoke” when the link should no longer function, for example after the sale of the lot.

Good to know

  • The “Send access” button remains inactive as long as the owner does not have an email address.
  • A report sent from the portal, under “Report an incident”, can be marked “Urgent”; it is transmitted by email to the property manager when the property manager's address is listed on the co-ownership file.
  • Convened meetings appear in the portal with the “Vote online” button when online voting is open.
