Owner reporting that wins and keeps mandates

An owner who understands their figures renews. An owner who receives a spreadsheet three weeks late starts listening to competitors.

The report is the product the owner sees

Most owners never open the software. Their experience of your service is the monthly statement, your response time and the quality of the decisions you propose. The statement is therefore the product.

Treating it as a by-product of accounting is one reason agencies compete on fee percentage. A clear, timely and well-argued report changes the subject of the discussion.

What a defensible statement contains

  • Gross rent invoiced and gross rent actually collected, never merged into one figure.
  • Fees derived from the mandate terms, with the rule visible next to the amount.
  • Expenses with the ticket, the vendor and the document attached.
  • Net payout with the payment date and reference.
  • A short operational note: what happened, what is coming, what needs a decision.

Automatic beats detailed

A detailed report produced by hand on the twentieth of the month is worth less than a good report produced automatically on the third. Owners value regularity as much as content.

Automation requires fees derived from the mandate and costs captured on the ticket. This links a data model decision to a commercial result.

Use the portal as a retention surface

A statement sent as an attachment is read once. A portal showing revenue history, documents, certificate expiry and open works gives the owner a reason to keep the portfolio with you.

Most competitors still send PDF files by email. Consistency and clarity are enough to stand out.

A demo on your own portfolio

The demo runs on a structure that matches yours: unit count, mandate model and portals. Forty-five minutes, no slide deck.
