Phase 1

Owners

The relationship that pays your fees, treated as a first class object.

Owners are the customers of a property manager, yet most software treats them as an address field on a property. REOS gives every owner a full record: private person or company, portfolio held, mandates signed, revenue generated, expenses incurred, fees charged, documents exchanged and the complete history of the relationship.

That record is what makes retention measurable. When a mandate comes up for renewal, the manager opens one screen and sees what the owner earned, what was spent, which incidents were handled and how quickly. The conversation stops being a negotiation about price and becomes a review of delivered performance.

What it does

  • Private and corporate owners, including holdings with several entities.
  • Portfolio view per owner across offices, with revenue, expenses and net payout.
  • Mandate history, commission terms and renewal dates in one place.
  • Document vault: mandate, identity, tax references, statements.
  • Complete exchange log so any colleague can take over the relationship.

What it automates

  • A mandate expires in ninety days and a renewal task is assigned to the account manager with the performance summary attached.
  • A monthly statement is generated, published to the owner portal and emailed in the owner language.
  • An owner whose net yield drops below the agreed target is flagged for a review call.

Records behind this module

These are the actual tables in the platform. Every other module reads the same rows, which is why nothing needs reconciling.

Frequently asked questions

Can one owner hold properties managed by different offices?
Yes. The owner record is organisation wide, and the portfolio view aggregates every office while permissions still restrict what each team can edit.
Do owners get access to the system?
Through the owner portal, with a read scope limited to their own portfolio, statements, documents and maintenance history.

Ready to see it on your own portfolio
